Welcome Kirby Parents!

General Camp Information:

OPEN HOUSE: Please join us for our Annual Camp Kirby Open House & Spaghetti Feed from 2:00-5:00pm on Sunday, April 14th. Get to know some of the staff that will be working this summer and tour Camp Kirby! Everyone is welcome, and the Spaghetti Dinner will begin at 5:00 for only $5/person to benefit Camp Kirby! This year we will also have a 2nd Open House on Sunday, June 23rd from 1:00-3:00pm.

CONSENT FORMS: Health Forms need to be completed one month before your child attends camp. You may have filled this out during registration, or you could have chosen to skip it to complete later. Either way is fine, as long as a current form is received one month prior to your campers’ session. (May 30th for session 1).

EMERGENCIES: All staff members are carefully trained in emergency procedures, first aid and CPR. In the event that your child becomes ill or injured to the point where they are no longer able to fully enjoy their time at camp we will make every effort to contact you and seek advanced medical help. If you need to contact us in case of an emergency, our Emergency phone number is 360-389-3542. Please keep in mind that we are mostly outside monitoring camp activities, so this line is reserved for emergencies only. In a non-emergent situation, you may e-mail the Camp Director at Kathryn@campfiresamish.org OR call her at 360-255-7765.

CAMPERSHIPS:  Campership funds are finite and will be funded on a first come, first served basis. Please e-mail me at kathryn@campfiresamish.org or call the Camp Fire Office at 360-733-5710 to request an application.

LEAVE AT HOME: Please leave electronics including cell phones, music players, video games, tablets, laptops, and e-readers at home. Personal sports and camping equipment, including pocket knives, are not needed as we supply these items. All bags will be checked for the above items and snack food, and if found returned to the parents during check-in.

EXPULSION: For the safety of all campers, anyone in possession of or using any form of alcohol, tobacco, drugs, or weapons at camp will be sent home immediately. We do not tolerate violence or bullying.

NAMETAGS: We encourage you to mark your child’s clothes and personal items, as we donate several boxes of lost clothing each year!

Resident Camp

FINANCIAL INFORMATION:

All forms and full payment must be in the Camp Fire Office at least one month prior to your child’s first session. You may pay with a credit card via your online account, or with cash or check via our office. Cancellation or session transfers (subject to a $25 transfer fee) must be made at least one month prior to the camp session to receive a refund of anything beyond the non-refundable $50 deposit. If your child leaves camp early due to illness or injury, the child may be able to attend a later session. If there is not a later season that will work, we will issue a non-transferrable pro-rated voucher that can be used in future years. If your child leaves camp early or arrives late due to homesickness, behavior problems, or for any other reason, there will be no refund or pro-rated fees.  

CHECK-IN/DROP-OFF: Camp check-in/drop-off is 3-4 PM on Sunday for 1-week sessions. For ½ week sessions, check-in is from 3-4 PM on the specified day (Sunday or Wednesday). Please do not arrive early for check-in! If you do arrive early, a line will form at the gate at the top of the hill. Once the gate opens, promptly at 3:00 PM, you will be directed by Camp Kirby staff members. Your first stop will be the check-in table located in the main lodge. A wellness check, bag check, and trip to the Kirby Store are also part of the check-in process. Please plan on check-in taking 30-60 minutes. The speed limit on Camp property is 5 MPH. Please, no pets at camp.

CHECK-OUT/PICK-UP: Camper pick up is 10-11 AM on Saturday for all 1-week sessions. For ½ week sessions, pick up is 10-11 AM on the specified day (Wednesday or Saturday). Please do not arrive early for pick-up! If you do arrive early, a line will form at the gate at the top of the hill. Once the gate opens, promptly at 10:00 AM, you will be directed by Camp Kirby staff. Whoever is picking up your camper, including yourself, will need to show photo ID to staff at the check-out table in the lodge. These individuals will also need to be listed as “authorized pick-ups” in your child’s UltraCamp account. The speed limit on Camp property is 5 MPH. Please no pets at camp.

MAIL AT CAMP: Mail at camp is very important!!! Campers are encouraged to write home, and our campers LOVE to receive mail during their session. Mail can be dropped off during camper check-in for delivery during the week, or you can mail it addressed to Camper’s name, Camp Kirby, 4734 Samish Point Rd, Bow, WA 98232.  Please do NOT send food/candy as this brings critters into the cabins and creates many extra problems. All packages will be opened under the supervision of a staff member, and any food or candy will be held by the Camp Director until pick-up at the end of the week. Allow at least 4-7 days for your mail to reach Camp Kirby. If a camper’s mail arrives at Camp before they do, it WILL be held and delivered once they arrive. Any mail received after a child has left Camp Kirby will be marked “Return to Sender”.

PACKING: Please leave all iPods, cell phones, tablets, laptops, smart watches, video games and other electronic items at home. Personal sports and camping equipment, including pocket knives, are not needed as we supply these items. All bags will be checked for the above items and snack food, and if found will then be returned to the parents. POLICY ON HOMESICKNESS AND CALLS HOME: Our staff is trained to handle homesickness; however, should a camper persist in homesickness, we will call you for advice on how you would like us to handle the situation. Our director is happy to talk to parents who want to “check” on their campers, but campers will not be called to the phone unless it is an emergency.  In a non-emergent situation you may contact the Camp Director at Kathryn@campfiresamish.org OR (360)255-7765.

CAMP STORE: The camp store will be open on opening and closing days and throughout the week for the campers. All money brought to camp must be checked in at the camp store during the check-in process, and an account will be kept for these campers. The store sells Kirby sweatshirts and t-shirts, camp souvenirs, postcards and stamps, flashlights and batteries, and so much more. The Kirby store does not stock any food or candy. All account balances over $5.00 will be refunded by check from the Administrative Office unless you have chosen to donate the remainder. Any account balance of $5.00 or less will NOT be refunded, and will instead be donated to benefit Camp Kirby.

Day Camp

CHECK-IN AND PICK-UP TIMES: Day Camp Drop-off is from 9:15-9:30AM, and pick-up is at 3:00 PM. There is an optional overnight on Thursday night, and a family program at 1:00 PM on Friday afternoon. Monday through Thursday, drop-off and pick-up will be organized at the top of the hill in order to keep 2-way traffic off of the hill. On Friday, families will be invited to drive down into camp to attend our afternoon program and tour camp. Photo ID will be required and checked for camper pick-up. Anyone who will be picking your child up will need to be listed as an “authorized pick-up” on their account. You may have entered some names during registration, but can login and edit this at any time.

MEALS: You are responsible for packing a lunch for your camper Monday-Thursday. We will provide a snack each day as well as dinner on Thursday, and breakfast and lunch on Friday.

PACKING: Please leave all iPods, cell phones, tablets/laptops, smart watches, video games and other electronic items at home. CAMP STORE: The camp store will be open Friday, the final day of camp, after the parent program. The store sells Kirby sweatshirts and t-shirts, Kirby water bottles, hats, Frisbees, and so much more. The Kirby store does not stock any food or candy. The camp store accepts cash, check, or Visa/Mastercard.
